Thank you for volunteering with Immigration Community Alberta Network Association (ICAN). Your volunteer contribution is critical in helping the association carry out its mission and it is the efforts of volunteers like you that make many of our programs possible. 

 

This Volunteer Agreement demonstrates how we value our volunteers. We want to assure you that we appreciate your contribution to our organization. We are dedicated to ensuring that you have a quality volunteer experience which is both productive and rewarding.

 

1a. ICAN commits to the following:

• Provide thorough induction on the work of ICAN, its staff, your volunteering role and the training necessary to assist you in meeting the responsibilities of your volunteering role.

• Treat our volunteers with respect and courtesy at all times. 

• Be receptive to any comments and feedback from all our volunteers. 

• Value and recognize our volunteers as a significant resource in achieving the goals of ICAN.

1b. The volunteer commits to the following:

• Perform their volunteering role(s) to the best of their ability.

• Adhere to the ICAN’s rules, procedures and standards, including health and safety procedures and its equal opportunities policy in relation to its staff, volunteers and clients.

• Meet the time commitments and standards undertaken, other than in exceptional circumstances, and provide reasonable notice so that alternative arrangement can be made.

• Act in a way that is in line with the aims and objectives of ICAN and that enhances the work of ICAN.

• Promote and advertise ICAN events to have more people involved.

• Hold participants’ information confidential.

2. Volunteer expenses and other benefits

As a volunteer, ICAN will provide you with reimbursement for any reasonable out-of-pocket expenses that you incur when performing authorized tasks associated with your role. We do this to ensure that you are not financially disadvantaged as a result of your volunteer position with us. These payments are not remuneration or wages. You will need prior approval from ICAN and will always need to submit the relevant receipts. We may sometimes provide you with other benefits as part of your volunteering role (examples include training, personal protection equipment, event entry). Where this occurs, it is on a gratuitous basis at the discretion of ICAN and is not payment in lieu of salary.

 

 

 

 

 

 

 

PLEASE READ THE FOLLOWING AGREEMENT VERY CAREFULLY BEFORE SIGNING AS IT AFFECTS YOUR LEGAL RIGHTS.

 

3. As a volunteer with ICAN, I agree to the following:

3a. The Work

It is mutually and expressly understood that volunteer services shall be donated, and that said volunteer is not entitled to nor expects any present or future salary, wages, or other benefits for these voluntary services. I understand that either ICAN or myself (with regards to section 1b) may terminate this volunteer relationship.

 

3b. Personal Information

I consent to the collection, use and disclosure of my personal information. I am aware that personal information (as defined under the Freedom of Information and Protection of Privacy Act, R.S.A. 2000, c. F.25) may be collected before, during or after my volunteer work, by ICAN, including but not limited to: 

• • My name, or the name of my legal guardians; and 

  • Photographs or videos of those participating in the volunteer work. 

ICAN does not and will not sell, trade, or rent any mailing lists. Data is securely and confidently stored. All personal data provided to ICAN will be used to: 

ï       Manage, develop and enhance ICAN operations, including programs and services;

ï       Communicate with participants; and 

ï       Ensure high quality programming and service delivery. 

I am aware that if I do not consent to the collection and use of my personal information for these purposes, I must inform ICAN in writing.

 

3c. Media Release

I hereby grant full permission to ICAN to use any photographs, motion pictures, videotapes, recordings or any other record of my participated volunteer events for any purpose, without limitation.

 

3d. Confidentiality

I understand that I have an obligation to respect the confidentiality of any sensitive information or dealings, which may relate to my volunteering at ICAN and I agree that I will not disclose any information without the prior written authorization from ICAN. I understand that my obligation of confidentiality continues into perpetuity.

 

3e. Assumption of Risks

In consideration of my participation as a volunteer, I acknowledge that I am aware of, and freely accept all risks, dangers and hazards associated with being a volunteer, including the possible risk of severe or fatal injury to myself or others. These risks include, but are not limited to:

1. The risks associated with traveling on a public or private vehicles to and from locations to be visited which could include but not limited to a vehicle accident resulting in severe physical injuries or death;

2. General health risks such as allergic reactions to food, animals, environment;

3. Possibility of physical injury to myself and others such as muscle strain, broken bones, concussion, soft tissue damage, infectious diseases, and cardiac arrest.

4. Injuries and/or sickness by failing to follow directions and/or instructions and guidelines, which may have been provided from those in charge of the event. 

3f. Release of Liability and Indemnification

In consideration for ICAN allowing me to participate as a volunteer, I agree:

1. that ICAN, its president, board members, agents, contractors, vendors, sponsors, employees, volunteers and representatives (hereinafter referred to as “ICAN”) are not responsible for any loss, damage, injury or expense of any kinds sustained by me while participating as a volunteer and all related activities, including any loss, damage, injury or expense that might result from the negligence of ICAN;

2. to WAIVE ANY AND ALL CLAIMS that I have or may in the future have against ICAN arising out of any aspect of my participation as a volunteer and to RELEASE ICAN from any and all liability resulting from any loss, damage, injury (including death) or expense that I may suffer as a result of my participation as a volunteer, due to any cause whatsoever, including without limitation, negligence, breach of contract, or breach of any statutory or other duty of care;

3. to INDEMNIFY AND HOLD HARMLESS ICAN in relation to any and all claims, demands, actions and costs which might arise out of my participating as a volunteer, even though such claims, demands, actions and costs may have been caused by the negligence of ICAN.

4. Acknowledgement

I ACKNOWLEDGE THAT I HAVE READ AND UNDERSTOOD THIS AGREEMENT before signing this agreement or registering online, that I have executed this Agreement voluntarily, and that this Agreement is to be binding upon myself, my heirs, executors, administrators and representatives. Further, I acknowledge and agree I will follow all rules, guidelines and abide by any and all risk assessments, health and safety regulations and instructions received prior to or during my participation as a volunteer.
